Interview with Beth Barberee

Today we have a Q&A with Beth Barberree, owner of Massage at the Club, located inside the World Health Club in Edgemont, Calgary. Beth has been a practising massage therapist since 1995, and is an active member of the MTAA. (Massage Therapy Association of Alberta, Canada)

Q: Beth,  can you tell us a little about yourself and your industry activity? How long have you been in practice?

A: I’ve been in practice for fifteen years, five in Edmonton and for the past ten years I have been at the same clinic here in Calgary. “Massage at the Club” is a Massage Therapy clinic located in a local fitness and racket sport club. We focus on corrective and therapeutic treatments.

Q: You have been using Massage manEdger for going on two years now, is having a website important to your practice?

A: Yes, absolutely a website is important to me.

Q: Your Massage manEdger website offers online appointment booking. Do many of your clients book online?

A: Yes, over 90% of my clients book online.

Q: Do your older clients find online booking a challenge?

A: At least half of the older clients use it. We’ve never really had problems with our clientele using the appointment booking. However, only 5% is over 60, and if they truly have a problem they just call in or book their next appointment with us before they leave.

Q: How does that (having online booking) benefit you & your clients?

A: Having online booking means less work for me, and that means I don’t need to hire extra staff. Another convenience was asking your Client Care department to add an online payment option for my clients to pay online through Paypal.

Q: You have been through the process of choosing & implementing a website practice management system for your practice.. what advice would you give to someone just starting that process?

A: Be sure to look at everything that is out there and try all the systems you are considering. I tried at least three different systems before I found Massage manEdger, which turned out to be the best fit for me. When you’re considering a system, also try to make contact with their client care people. I’m not very tech savvy, so to me it doesn’t matter if it looks like the greatest thing at the start. Doing what I do, I could work without electricity! If you’re like me, then you need to know that support is there when you need it. That’s really important.

Q: Aside from the website and online booking features, are you benefiting from the practice management features of Massage manEdger ? How?

A: Being able to do all my client record keeping for treatment and payment transaction information is a big help. It  helps to be able to keep their records and billing history in one place using the product . I use other full accounting software for taxation purposes.

Q: Do you feel Massage manEdger practice management software has eliminated the need for paper records?

A: Almost exclusively. Aside from consent forms that need to be signed and stored and a paper history form to fill out when they come in (which is then transferred into their digital record) we have no paper charting (per visit) at all.

Q: What functions do you enjoy the most about the system? (Real life benefits, support?)

A: Time saving, so I can just work and work and work. I’ve got eight therapists, so having extra time to manage them and juggle their schedules is a life saver. With people working half days here, full days there, being able to figure out where I need coverage is an additional perk. I can maximize my coverage and keep an optimal schedule much faster than I could with paper.

Our support staff had an interesting phone call the other day. A client of over 3 years was expanding her clinic again to include yet another massage therapist. She called to get some assistance in setting up the new therapist in her Massage manEdger system.

The client had an interesting comment.

97% of their clients book online.

In fact, so many clients book online that new therapists are only trained on how to check their requested appointment times ONLINE and are no longer trained on how to answer the phone! The few calls that do come in, can easily be handled by one person and no longer need to take the time of other therapists learning how to answer the phone, look up times and dates and manually book appointments. Their answering machine provides their friendly web address and once clients book once online, they find it easier and friendlier than leaving messages and playing phone tag.

New Themes

Watch for new themes coming to the Massage manEdger product soon! These new themes will allow you to get even more variety out of your site – and let you stand out from the crowd!

Bug Updates

The programmers have been hard at work fixing bugs in the system and rolled out a bug fix today.

We have also been working at making massage manEdger work international and many changes have been put in place for this.

Sunday Upgrade Recap

This Sunday, we did a minor upgrade to the Massage manEdger system.  Here’s a summary of what is new.

1. You can now add as may therapists as you want to your site.

2. After hour appointments can be booked via the administration area. There is a new area at the bottom of the appointment display page where all the appointments outside of normal business hours are be displayed.

3. The “Payment Type” drop-down is now programmable by you.  Here you can add additional payment methods (or change the spelling of existing payment types (Check vs. Cheque).

A new client to MindZplay is RMT Recruiter. While their site is still being coded at the moment, we’ve had the pleasure of creating a logo for them.

They have already taken a proactive step in their marketing by adding the logo to their company vehicle. Now when they drive around town,  it’s marketing their site for them

Things are in full swing.

I must apologize for the huge delay in between the last post and this. Things at mindZplay have been really busy with new development, upgrades and of course supporting our ever important clients!!

The class module is coming along wonderfully and we’re excited to get beta testers on it!!

Upgrade Details

We will be doing a system upgrade to the Massage manEdger sites this Sunday, January 4, 2009, starting at 9:00 am CST. As always, we will do all we can to minimize the service disruption – we expect it to be approximately 2 hours.

The result of our work will deliver to you additional system functionalities including the following:

  • Service Bundles – You will now be able to offer treatment packages though the system. This new feature will give you the ability to:
    • Define Service packages.
    • Invoice Service bundles to your clients.
    • Track bundle usage on a client by client basis.
  • An enhanced invoicing module. The improvements include:
    • Support for multiple line item categories (services, bundles, etc.)
    • A new “Notes” section, allowing you to add treatment comments to the printed invoice.
  • A new Clinic / Therapist services module – this new tool will allow you to configure a treatment service and then assign therapists to that service. This greatly improves the management of services in a multi-therapist clinic environment.
  • Tax configuration on a service by service basis. You will now be able to define taxes for each service you offer, ideal for those regions that have different tax requirements based on the services offered.
  • Enhanced Appointment Check-out – A visual method of tracking which appointments have been check-out or not.
  • Other Miscellaneous feature tweaks and fixes.

New Build

The next build is coming along wonderfully! I’m very excited as it includes upgrades to the invoice.  We have increased flexibility in that the you can name the taxes as you want.

We have also created a new bundles option that allows you to sell your services in bundles and manage who has purchased bundles and what has been used.

We are also cleaning up the services management including clinic and user services.
